Deputy Chief of Staff

Purpose of Position

The Deputy Chief of Staff supports the Chief of Staff (COS) by assisting in the day-to-day operations of the Chancellor’s office and providing support for the USM Board of Regents. The individual is expected to exercise a high level of independent judgment, maintain confidentiality, and display excellent organization skills, tact, and discretion in all matters. This is a highly responsible and sensitive position.

Responsibilities

Meeting Management:

  • Assists the COS in the planning, organization, and facilitation of meetings, including but not limited to Board of Regents meetings, retreats, and orientations; Committee on Governance and Compensation meetings; and Council of University Presidents meetings.
  • Develops agendas, prepares briefing materials, prepares minutes, and coordinates follow-up actions.

Project Management:

  • Researches, writes reports, and develops presentations for special projects or initiatives assigned by the COS. 
  • Projects may include management of the Regent Liaison Program, personnel searches and onboarding, and space and furniture allocation.
  • Serves as the point person for the board book platform.
  • Assists with the coordination of the annual review process.

Interdepartmental Coordination:

  • Facilitates communication and collaboration between different departments or units within the USMO and USM.

Communications:

  • Drafts, reviews, and distributes internal and external communications on behalf of the COS or the USMO.
  • Drafts responses, as appropriate, to institutional complaints and queries sent to the Chancellor’s Office.

Strategic Planning:

  • Assists the COS in developing and implementing strategic initiatives and goals for the organization.
  • Assists with the review of BOR policies and bylaws.
  • Assists with the development, administration, and compilation of BOR assessment surveys.

Operations and Accountability:

  • Maintains logs of Chancellor’s office programs/events, sponsorships, organization memberships, and paid dues.
  • Reviews purchase card, travel, and timesheets for the Chancellor’s office staff.
  • Serves as the Chancellor’s Office point person for USMO Administration and Finance and Human Resources matters.

 

MINIMUM QUALIFICATIONS:

Required Education Level/Certifications:

Bachelor’s degree from an accredited college or university. Additional work experience as defined below may be substituted on a year-for-year basis for up to four (4) years of the required education.

Required Experience:

  • 3 years of professional experience as an executive assistant, senior administrative assistant, policy analyst, project manager, or other similar positions.
  • Experience in higher education, government, public administration, or nonprofit organizations.
  • Experience working in a leadership role or in a fast-paced, high-pressure environment.

 

Required Knowledge/Skills/Abilities:

  • Comprehensive knowledge of higher education, governance, or multi-institution governing systems. 
  • Ability to work collaboratively with diverse stakeholders and build effective working relationships across different departments or organizations.
  • Ability to think strategically and anticipate potential challenges or opportunities.
  • Attention to detail and a high level of accuracy in work output.
  • Strong interpersonal skills, with diplomacy and good judgment
  • Ability to multi-task and be highly organized
  • Excellent writing and oral communication skills
  • Ability to work independently
  • Proficient with Microsoft Word, Excel, and PowerPoint applications
  • Flexibility to work non-standard hours as needed and to travel occasionally for meetings or events.
  • High level of integrity and discretion, with the ability to handle sensitive information and maintain confidentiality.

 

Classification: Regular

FLSA Status: Exempt

Hours: FT

Salary: $110,000 – $140,000
