Purpose of Position

Supports Elkins building operations by processing incoming and outgoing mail, performing general maintenance duties, and manning the front desk when needed. This position also provides administrative support to the Facilities Management office.

Responsibilities

Processes incoming and outgoing mail:

  • Collects, sorts, delivers, and processes incoming and outgoing mail of all classes and special handling, e.g., registered, certified and insured mail. Ensures that all mail is dispatched and delivered to proper addresses or departments in a timely manner. Prepares and assists in processing bulk mailing.
  • Makes regular runs to the U.S. Post Office to pick up U.S. mail. Sorts incoming mail and distributes to proper departments within USMO.
  • Delivers outgoing processed U.S. mail and Campus mail to the Postal Facility on College Park campus. Makes special trips for processing overnight and express mail.
  • Produces a weekly printout record of the total cost posted on the postage meter and the amount expensed to each department by account codes. Prepares a monthly summary of money to be replenished for metered postage.

Conducts administrative tasks for the Facilities Office:

  • Maintains Facilities office files including invoices and correspondence and prepares periodic reports.
  • Establishes and maintains a digital inventory of archived material under the direct supervision of the USMO Building Manager. Scans documents and saves them as PDF files using a computer. Maintains a full and complete inventory of archived and confidential/sensitive materials. Conducts periodic reviews with the appropriate USMO staff/department to review and discard archived material as necessary; shreds/discards scanned paper documents.
  • Coordinates inventory and disposal of unused USMO equipment through UMCP’s Terrapin Trader services, consistent with State of Maryland program for disposal of personal property.

Conducts general maintenance tasks for the Facilities Office:

  • Replaces water cooler containers throughout the Elkins Building.
  • Maintains the USMO vehicle (van) by taking it to the Motor Pool for scheduled maintenance and repairs and ensures proper fluid levels between scheduled maintenance.
  • Assists with general maintenance projects (e.g., assembling new office bookshelf/desk/chair).

Fills in for Front Desk Security when employee is on break or is otherwise unavailable:

  • Monitors entrances and exits to the building and notifies appropriate personnel when problems and life safety threats arise.
  • Greets visitors, responds to routine inquiries from staff, and provides assistance to visitors who enter the building to attend USMO and Foundation meetings.
  • Oversees the proper use of the building parking lot.
  • Maintains a log of all deliveries and other activities affecting the building.
  • Identifies maintenance and other personnel who come to the loading dock and the Atrium building doors by using a monitor on the front desk.

Minimum Qualifications             

Education: High School diploma or GED; valid US driver’s license.

Experience: 1 year of mailroom or general office experience.

Knowledge, Skills, and Abilities:

  • Organized and detail-oriented.
  • Ability to perform simple accounting for mail expenditure reporting.
  • Ability to use basic computer software and office equipment.
  • Ability to perform basic maintenance functions.
  • Must be able to lift up to 40 lbs.

Preferred Qualifications

Education: N/A

Experience: Some general maintenance experience or experience in an education, government, or other non-profit environment.

Knowledge, Skills, and Abilities:

  • Ability to create and maintain Excel spreadsheets.
  • Skilled in database applications, including building and maintaining them.

Classification: Regular

FLSA Status: Nonexempt

Hours: FT
